Purpose

This procedure defines the end-to-end lifecycle for website development projects at Momenta Fire, from approval through launch, quality control, and transition to ongoing hosting and maintenance.

Engagement Trigger

Purchase Order Requirement

  • Website development begins only after receipt of an approved Purchase Order
  • No work of any kind is initiated prior to PO confirmation and kickoff

Kickoff Process

Internal Kickoff

Upon PO receipt:

  • An internal kickoff is conducted
  • Roles and responsibilities are assigned, including:
    • Engagement Manager
    • Developer
    • Any additional required resources

Client Kickoff

  • A client kickoff meeting is scheduled
  • Scope, objectives, timeline, and deliverables are confirmed
  • Communication expectations and approvals are clarified

Brand Positioning Phase

A brand positioning discussion is conducted with the client to establish strategic and creative direction.

Objectives

  • Define ideal customer profiles, typically three
  • Establish site style, tone, and creative direction
  • Confirm wireframe and layout expectations

Planning and Content Framework

Site Architecture

  • Navigation structure is created
  • Decisions are made regarding:
    • Pages to retain from the existing site
    • Pages to remove
    • New pages to be created

Content and Media Planning

  • Page count is finalized
  • Content responsibilities are defined
  • Required media assets are identified
  • Copywriting tasks are assigned
  • Content collection begins

Design and Build Models

Momenta Fire supports two website delivery models. The appropriate model is determined during kickoff based on scope and budget.

Model 1, Template Based Build

  • Used for entry level website engagements
  • Site is built from an approved template
  • No custom design phase is required
  • Layout and structure follow the selected template

Model 2, Custom Design Build

  • Used for higher end website engagements
  • Multiple design variations are produced
  • Client review and approval are required before development begins

Development Phase

Build Environment

  • All websites are developed on a staging environment whenever possible
  • Production sites are not used for active development

Required Plugins

The following plugins are required for all website builds:

  • Yoast SEO
  • Elementor
  • Elementor Pro

Plugins may be installed by either the Managing Partner or the WordPress Developer.

Communication and Revisions

  • Weekly progress updates are provided via:
    • Email
    • Loom video
    • Short status meetings
  • Each page includes a maximum of two revision rounds
  • Additional revisions require a formal change order

Quality Control

Internal QC

Once all pages are built and approved:

  • A QC review is conducted using a standardized checklist
  • Issues are documented and addressed

Client Review

  • Client conducts final review
  • Final approval is required prior to launch

Deployment

Launch Timing

  • Launches occur during low traffic hours

Deployment Method

  • If Momenta Fire controls DNS, deployment is handled internally
  • If the client controls DNS, deployment is coordinated with their IT team

Post Launch Transition

  • After launch, the site transitions into the Hosting and Maintenance service
  • Ongoing support follows Hosting and Maintenance procedures

Duration

Brand positioning may take different forms depending on project needs:

  • A one hour focused working session
  • A multi day facilitated workshop

The appropriate format is determined collaboratively based on client requirements and project scope.

Participants

Brand positioning may involve:

  • Partner Client Strategy lead only
  • Or a broader working group including up to three or four Momenta Fire team members

Participation is determined by engagement complexity and required outcomes.

Objectives

The objective of brand positioning is to develop a clear, actionable understanding of:

  • The client’s business model and goals
  • Market context and competitive dynamics
  • Customer needs, motivations, and decision drivers
  • How Momenta Fire can deliver a fit for purpose solution

Brand positioning directly informs strategy, design, messaging, and execution.

Outputs and Deliverables

Required Deliverable

Every brand positioning engagement produces a Brand Positioning Deck.

At a minimum, the Brand Positioning Deck includes:

  • A Brand Positioning Statement
  • Ideal Client Profiles

These elements are contained within the same deck and are not standalone deliverables.

Additional Collateral

Additional collateral may be produced when required by the project scope. This typically includes:

  • Sales enablement brochures or flyers

The creation of additional collateral is governed by project needs and approved scope.

Governance

  • Brand positioning outputs guide all downstream execution
  • Deliverables are reviewed and approved before subsequent phases begin
  • Engagement Managers ensure positioning is applied consistently across the project
