Photography Procedures

Purpose

This procedure defines how photography is planned, approved, executed, delivered, and governed for client engagements at Momenta Fire. It establishes clear authority, expectations, and accountability across casual and full scale photo shoots.

Photography Types

1. Casual Photo Shoots

Definition
Casual photo shoots are lightweight, in house photography sessions conducted by Momenta Fire team members, typically Debbie or Charles, at a client location.

Typical Use Cases

  • Website articles
  • LinkedIn posts
  • General brand and content marketing

Scope and Duration

  • Non intrusive, informal shoots
  • Typically a couple of hours
  • Not intended for high production, staging, or detailed shot lists

Approval and Deployment

  • Approved, scheduled, and deployed by the Operations Manager
  • Uses internal resources only
  • Not sold as a standalone product

2. Full Scale Photo Shoots

Definition
Full scale photo shoots are structured, higher production photography engagements offered as a paid product.

Scope and Duration

  • Half day or full day on site
  • Planned in advance
  • May include staging, shot lists, and comprehensive facility, team, and process coverage

Approval and Booking

  • Must be sold as a formal product
  • Requires Managing Partner approval prior to booking
  • Once approved and booked, execution does not require additional Managing Partner involvement

On Site Requirements

Branding

  • Any team member attending a client site must wear Momenta Fire branded apparel whenever possible
  • Branding must be clean, professional, and appropriate for the client environment

Professional Conduct

  • Team members must conduct themselves professionally at all times
  • This includes communication, behavior, safety awareness, and adherence to all client site rules
  • Client safety protocols always take precedence

Post Shoot Asset Handling

Folder Structure and Ownership

  • Folder structure and storage location are determined by either the Engagement Manager or Operations Manager
  • This applies to both casual and full scale photo shoots

Upload Responsibility and Timing

  • All photo assets must be uploaded within 48 hours of the shoot completion
  • The Engagement Manager or Operations Manager is responsible for confirming that uploads are complete
  • No photos should remain stored on personal devices beyond the upload window

Editing and Processing

  • Casual photo shoots typically require minimal or no editing
  • Full scale photo shoots include light editing on key photos
  • Editing for full scale shoots is the responsibility of the photographer

Client Access

  • Clients may be granted access to photo folders at the Engagement Manager’s discretion
  • Engagement Managers determine whether assets are shared as a full library or curated selection
