Primary Use: Timeline and action tracking for client deliverables and internal strategic goals
Purpose in Our Workflow:
Monday.com is our centralized project tracking and planning platform, used to manage both client project timelines and internal priorities, most importantly Momenta Fire’s quarterly rocks (our high-level business objectives). It gives us a visual, collaborative space to track what’s being worked on, who’s responsible, and when it’s due, across every phase of our work.
Monday.com is billed monthly. The free license of Monday allows for a user to view a single board. Momenta Fire utilizes free licenses for subcontractors, however, each member of the core team has a paid license of Monday.com. It helps keep projects moving forward, ensures accountability, and provides visibility into priorities across the team.
How We Use It in Context:
- Client Project Boards:
Each active client has a dedicated project board where we track deliverables like blog posts, landing pages, audits, site builds, or website builds. Tasks are broken into subtasks, assigned to team members, and scheduled using clear time frames. This is how we ensure timely delivery and avoid missed steps in multi-stage workflows. - Quarterly Rocks (Strategic Planning):
For Momenta Fire’s internal priorities, Monday is where we track quarterly rocks—company-level objectives tied to growth, operations, or strategic development. Each rock has measurable outcomes, timelines, and assigned owners. Progress is tracked weekly or biweekly to ensure we’re aligned and executing. - Time Frame Visibility:
Monday helps us visualize work in weekly, monthly, or quarterly views, making it easy to spot bandwidth issues, overdue tasks, or overlapping priorities—especially useful when balancing multiple client projects or aligning internal efforts with external timelines. - Status Updates and Accountability:
Each task or subtask has a status (e.g., “Not Started,” “In Progress,” “Needs Review,” “Complete”), which allows the entire team to quickly see what’s on track or falling behind. Customer statuses can be added as needed. Regular updates in Monday reduce the need for constant check-ins or status meetings.
Your Role With Monday.com:
- Updating Tasks and Timelines:
You’re expected to update your assigned tasks regularly. This means marking them complete, adjusting due dates as needed, and keeping notes or links in the task description for easy reference. - Maintaining Visibility for the Team:
If a project you’re working on hits a delay, needs input, or is ready for review, update the status and @tag relevant team members within the task to keep things moving. - Supporting Internal Planning:
You may be asked to add or update quarterly rock entries for Momenta Fire—assigning subtasks, tracking progress, or helping ensure updates are ready ahead of planning reviews.
Quick Tips:
- Use clear, consistent naming for tasks (e.g., “ClientX – Q1 Blog Draft” or “Website Launch – Final QA”).
- Keep all relevant links (Docs, Figma, Ziflow, etc.) attached to the task so nothing gets lost.
- Check your assigned tasks regularly and keep statuses updated—this ensures accountability across the team.
- If you’re unsure where a task lives or which board to use, ask before creating new entries—duplicate boards can cause confusion.
Monday is how we operationalize our strategy—translating creative work and business goals into trackable, actionable steps. Used properly, it helps us maintain momentum, clarity, and delivery discipline across everything we do, both for clients and for ourselves.
