Primary Use: Formalizing client agreements with electronic signatures
Purpose in Our Workflow:
DocuSign is our trusted tool for managing digital signatures and formalizing client/partner agreements. It allows us to securely send, sign, and store legally binding contracts without the delays or inefficiencies of manual paperwork.
We maintain a single DocuSign license, ownedby the Managing Partner. This ensures consistency in how agreements are sent and signed, and maintains compliance with how we store and track client commitments.
How We Use It in Context:
- Sending Final Agreements for Signature:
After a service agreement or proposal has been approved internally (and often formatted in Canva or Google Docs), we upload the final PDF into DocuSign. From there, the Managing Partner assigns signature fields to the client’s authorized representative and to our managing partner for countersignature. - Secure & Trackable Delivery:
DocuSign allows us to track when a client opens, views, or signs the document. This gives visibility into any bottlenecks or delays and ensures we’re following up at the right time. - Formal Activation of Work:
We shouldn’t start any client project without a signed agreement. DocuSign serves as our internal signal that work is approved to proceed. Once signed, the executed document is automatically stored and emailed to all parties for their records. - Recordkeeping & Compliance:
DocuSign stores a signed copy of each agreement in our account, ensuring we have an official record of the scope, pricing, terms, and signature history. This is critical for resolving disputes, clarifying terms, or reviewing client history over time.
Your Role With DocuSign:
- Work Reference Document:
Docusign outputs should be available to the Operations Manager and shared with Engagement Managers as business needs dictate.
DocuSign is how we close the loop on client and partnership engagements—it confirms mutual agreement, protects both parties legally, and ensures we have a clean, professional system for starting work with clarity and confidence.
