Primary Use: Streamlining client approvals and centralizing feedback on creative assets

Purpose in Our Workflow:
Ziflow is a creative workflow and proofing platform that manages and streamlines the client review and approval process. It is especially useful for visual deliverables like presentation decks, landing page mockups, PDFs, social graphics, and marketing collateral. It ensures that all stakeholder feedback is consolidated in one place, eliminates scattered email threads, conflicting comments, or version confusion.

We use a single license of Ziflow, annually renewed. Ziflow maintains clarity, speed, and accountability during the review phase of a project—particularly when multiple reviewers are involved or when assets go through multiple rounds of iteration.

How We Use It in Context:

  • Client-Facing Approvals:
Once a draft design or creative asset is ready for review (e.g., a lead magnet PDF, homepage layout, or pitch deck), we upload it to Ziflow and invite the client to review. They can leave comments directly on the file, mark required changes, or approve the asset.
  • Internal Review Cycles:
Before presenting assets to a client, we may run an internal Ziflow review to collect input from team members so we submit a clean, unified version to the client.
  • Version Control:
Ziflow keeps track of all revisions, so we can upload new versions of the same file and compare them side-by-side. This avoids confusion and keeps the feedback process linear and documented.
  • Visual Markup and Commenting:
Reviewers can leave comments on specific areas of a file (e.g., “Change this headline” or “Adjust the logo spacing”), which makes feedback clearer and easier to action.

Your Role With Ziflow:

  • Uploading and Preparing Files for Review:
You may be asked to upload creative files to Ziflow, assign reviewers, and set deadlines for feedback or approval. You’ll also be expected to ensure the correct version is uploaded and labeled clearly.
  • Tracking Feedback and Approvals:
Monitor progress on reviews—follow up if feedback is delayed, and ensure that comments are being resolved in each round. You may also help track which clients have approved which versions.
  • Coordinating Revisions:
After feedback is submitted, you’ll often work with the creative team to make sure changes are implemented and the next version is uploaded for final approval.

Quick Tips:

  • Always double-check that the correct file version is uploaded before sending a Ziflow link.
  • Set clear reviewer roles. Some clients should comment only, while others need to formally approve.
  • Use Ziflow comments as the source of truth. Do not ask for feedback across email or Slack unless necessary.
  • After final approval, mark the asset as “Approved” in Ziflow and archive earlier versions to keep things clean.

Ziflow ensures we maintain professional, trackable, and efficient review cycles, reducing confusion and helping us deliver final assets that are truly aligned with client expectations. It plays a vital role in our ability to move fast without sacrificing clarity or quality.
